How do content policies work with the SmartLockr add-in?

The administrator of SmartLockr can customize the content policy in SmartLockr's admin portal to fit an organization's needs.

SmartLockr has three content policy settings: Notification, Automatic and Mandatory. What those settings mean and what you as a user will notice about them is read below.

Notification:

SmartLockr has the option to warn you as a user that it might be a good idea to turn on SmartLockr. The text in the notification depends on what the notification is for, but it will look like this:

If you decide to turn on SmartLockr because of the notification if will turn on and jump to the level of Smartlockr security that the admin configured in the admin portal. You can turn Smartlockr back off or change the settings to suit your needs.

The administrator can have the notification activated if any of the following are in your email:

  • A pattern of numbers (Like a credit card number) or a combination of letters and numbers (like a bank account number in Europe).
  • Any word that might suggest there’s sensitive information in your email, for example: password, annual report, bills, SSN.
  • When you add files to an email.
  • A pattern of numbers, a combination of letters and numbers and words that might suggest there’s sensitive information in files you add to your email.

SmartLockr will always show a notification when it's not active and you're sending an email to someone outside of the company. 

Automatic:

SmartLockr can turn itself on automatically if the administrator has chosen to automatically check the contents of the mail. In the green bar that appears, you can see why SmartLockr has jumped on. It will look like this:

SmartLockr will turn on automatically on the level of SmartLockr security that was configured by the admin of SmartLockr in our admin portal. You can disable or change the level of Smartlockr if you feel the need to do so.

The administrator can have the notification activated if any of the following are in your email:

Forced:

SmartLockr can be switched on automatically using the forced content policy settings. The text in the notification depends on why SmartLockr was enabled but will look like this:

SmartLockr will turn on automatically on the level of SmartLockr that was configured by the admin of SmartLockr in our admin portal. You can’t disable SmartLockr or change the level of SmartLockr because the admin wants you to send this message with these specific encryption settings.

The administrator can have this level of security activated if any of the following are in your email:

  • A pattern of numbers (Like a credit card number) or a combination of letters and numbers (like a bank account number in Europe).
  • Any word that might suggest there’s sensitive information in your email, for example: password, annual report, bills, SSN.
  • When you add files to an email.
  • A pattern of numbers, a combination of letters and numbers and words that might suggest there’s sensitive information in files you add to your email.
